World Fire Congress Website Privacy Notice

This privacy notice (the "Notice") applies to the World Fire Congress Communities of Practice ("WFC CoP") website (the "WFC CoP Site") offered and operated by UL Research Institutes (Underwriters Laboratories Inc.) through its Fire Safety Research Institute ("FSRI", "we," "us," "our"). This Notice should be read in conjunction with the UL Research Institutes Privacy Policy, which applies to all other websites and mobile applications offered or operated by UL Research Institutes.

This Notice describes how FSRI processes personal data (i.e., data which identifies an individual or from which an individual is identifiable) about you ("Personal Data") in the context of the WFC CoP, in particular for processing the identities and contact information of attendees of the WFC CoP via completion of the sign-up form to register as a member of the Community of Practice (the "WFC CoP Site Form"). UL Research Institutes is the controller of the Personal Data processed for these purposes.

This Notice may be amended and replaced from time to time, and we will notify you of material amendments in advance of such amendments becoming effective by posting such amendments to the WFC CoP Site.

Processing of Personal Data

We will process Personal Data that we collect directly from you during your use of the WFC CoP Site, and functionalities contained therein, including the WFC CoP Site Form.

Such Personal Data includes:

Contact Information: your first and last name, email address, home address, work address, telephone number, mobile number, and emergency contact information.

Identification Information: your gender, country of residence, organization, and job title.

Additional Information Contained in Biographies Shared with the FSRI: including details of your employment / education history, qualifications, language proficiencies, and other information included at your discretion.

Consequences of your failure to provide us with Personal Data: Where the processing of Personal Data is necessary in order for us to fulfil our legal and regulatory/contractual obligations, failure by you to provide certain Personal Data in whole or in part, could make it impossible for us to consider your application.

Your Right to Object: Please note that you have a right to object to the processing of your Personal Data where that processing is carried out for our legitimate interests. Please note however that we may not be able to fulfil this request in all instances.

Disclosure of Personal Data

To the extent necessary to achieve the purposes as described above, we may disclose Personal Data to:

other organizers of the World Fire Congress,
our affiliates or partners,
third party service providers, for example, IT service providers,
consultant and professional advisors, independent public accountants, and auditors,
third parties in the context of mergers and acquisitions, joint ventures, or strategic opportunities (e.g., to potential new investors for due diligence purposes),
public authorities (e.g., courts of law, tax authorities) and social services organizations (e.g., the social security administration), or
to the extent FSRI reasonably considers it necessary to third parties for the purposes of complying with applicable law or regulations, investigating potential infringements of the law or FSRI policies and / or establishing, exercising, or defending legal rights of FSRI and / or their respective directors, officers, or employees (e.g., in connection with litigation, arbitration or similar proceedings).

International Transfers of Personal Data

FSRI may, for the purposes identified above, transfer Personal Data to recipients identified above, that are located in countries outside the European Economic Area (“EEA”) and the UK, including the US, and which may not be considered to provide an adequate level of data protection by the European Commission / UK Government.

FSRI will ensure that such transfers comply with applicable data protection laws e.g., by implementing appropriate safeguards, such as, Standard Contractual Clauses or by relying on the recipient’s self-certification to the EU-U.S. Data Privacy Framework (or UK Extension thereof). Transfers may also take place by relying on a derogation such as, where the transfer is necessary for performance or a contract or the establishment or defence of legal claims.

Retention of Personal Data

We retain Personal Data for no longer than necessary for the purpose(s) for which it is processed, including for the purposes of satisfying any legal, accounting or reporting requirements. To determine the appropriate retention period, the amount, nature and sensitivity of the Personal Data are considered, together with the necessity and purposes of the processing.

Rights in relation to your Personal Data

You may have certain rights under applicable data protection laws, which are subject to limitations and/or restrictions. These include:

The right to request access to your personal data;
The right to request that your personal data is corrected or deleted;
The right to request that we restrict our processing of your personal data;
The right to object to the processing of your personal data including, where it is carried out (i) for our legitimate interests unless we can demonstrate compelling legitimate grounds for the processing, and/or (ii) for direct marketing purposes;
